Information We Collect

The type of information we collect depends on your relationship with us. We only collect information that is necessary for our business functions.

For nursing and care staff and job applicants, we may collect:

  • Full name, date of birth, and contact details (address, phone, email)
  • AHPRA registration number and registration status
  • Qualifications, certifications, and employment history
  • National Police Clearance certificate
  • Working with Vulnerable People (WWVP) check details
  • Tax file number and superannuation details (for payroll purposes)
  • Bank account details for payment processing
  • Emergency contact information
  • Immunisation records and relevant health clearances
  • References and performance-related information

For clients and healthcare facilities, we may collect:

  • Contact names, phone numbers, and email addresses
  • Organisation name, ABN, and billing details
  • Service requirements and care needs
  • Details about care recipients (only as necessary to match appropriate staff)
Minimum necessary principle: We collect only the information we genuinely need to provide our services. We do not collect personal information simply because it might be useful in the future.

How We Collect Information

We collect personal information in the following ways:

  • Directly from you — via registration forms, employment applications, phone calls, emails, or in-person meetings
  • Through our website — via contact forms, enquiry submissions, or job application portals
  • From third parties — including referees, AHPRA registration searches, police clearance providers, and previous employers (with your consent)
  • From healthcare facilities — feedback or information provided by client facilities about staff performance or care requirements
  • Automatically — technical information collected when you browse our website (see Section 8)

Where practicable, we will collect personal information directly from you. We will notify you at the time of collection (or as soon as practicable) about why we are collecting it and how it will be used.

Why We Collect It — Purposes of Use

We use personal information only for the purposes for which it was collected, or directly related purposes. These include:

  • Assessing suitability and placing nursing and care staff with client facilities
  • Verifying professional registrations, qualifications, and compliance requirements
  • Processing payroll, superannuation, and invoicing
  • Managing our ongoing relationship with staff and clients
  • Communicating about shift availability, service updates, and operational matters
  • Complying with legal and regulatory obligations (including aged care and workplace safety laws)
  • Responding to enquiries submitted via our website or phone
  • Improving our internal processes and service quality

Disclosure of Personal Information

  • Healthcare facilities and clients — to facilitate nursing placements (e.g. sharing a nurse's credentials with a facility that has requested staff)
  • Regulatory and government bodies — including AHPRA, the Australian Taxation Office, and WorkCover WA, where required by law
  • Police and background check providers — to conduct required screening checks
  • Payroll and accounting providers — contracted service providers who assist with payroll processing and financial administration
  • IT and software providers — service providers who assist with our business systems, subject to confidentiality obligations
  • Legal advisors — where necessary to obtain legal advice or resolve disputes
  • With your consent — in any other circumstances where you have explicitly agreed to disclosure
All third parties who handle personal information on our behalf are required to comply with Australian privacy law and are prohibited from using your information for any purpose other than providing services to SargNet.

We do not disclose personal information to overseas recipients unless required by law or with your express consent. If overseas disclosure becomes necessary, we will take reasonable steps to ensure the overseas recipient handles information consistently with Australian privacy law.

Sensitive Information

Some of the information we collect is classified as sensitive information under the Privacy Act, including health information, criminal history checks, and professional registration details. We treat sensitive information with the highest level of care and confidentiality.

We will only collect sensitive information where:

  • You have provided explicit consent, or
  • Collection is required or authorised by Australian law (e.g. mandatory screening requirements for working with vulnerable people)

Health information about care recipients shared with us for the purpose of matching appropriate nursing staff is treated as strictly confidential and is not disclosed beyond what is necessary for the safe delivery of care.

Website & Cookies

When you visit our website, we may automatically collect certain technical information, including your IP address, browser type, pages visited, and time spent on pages. This information is collected in aggregate and is used to help us understand how our website is used and improve its performance.

Cookies: Our website may use cookies — small text files stored on your device — to improve your browsing experience. Cookies may be used to:

Retention: We retain personal information only for as long as it is needed for the purpose it was collected, or as required by law. When personal information is no longer required, we take reasonable steps to destroy or de-identify it securely.

Staff records are generally retained for a minimum of seven years in accordance with Australian tax and employment law requirements. Police clearances and registration records are retained for the duration of an individual's engagement with the agency plus a reasonable period thereafter.

Your Rights

Under the Privacy Act 1988 (Cth) and the Australian Privacy Principles, you have the following rights in relation to your personal information:

Access — request a copy of the personal information we hold about you
Correction — request that inaccurate or outdated information be corrected
Anonymity — interact with us anonymously or by pseudonym where practicable
Opt-out — withdraw consent for direct marketing at any time
Complaint — lodge a privacy complaint and receive a timely response

Access & Correction Requests

You may request access to, or correction of, the personal information SargNet holds about you at any time. To make a request:

  • Contact us in writing by email or post (see Section 14)
  • Include your full name, contact details, and a description of the information you are seeking
  • We may ask you to verify your identity before providing access

We will respond to access and correction requests within 30 days. In most cases, we will provide access free of charge. If we are unable to provide access or make a requested correction, we will explain our reasons in writing.

There are limited circumstances under the Privacy Act where we may decline an access request — for example, where providing access would unreasonably impact the privacy of another individual.

Privacy Complaints

If you believe SargNet has mishandled your personal information or breached your privacy, we encourage you to contact us in the first instance. We take all complaints seriously and will respond within 30 days.
